Ulster University enables future leaders with a transformed HP collaboration experience
Cross-Campus Standardization with Optimized Technology
Ulster University, known for its innovation and research, operates three main campuses in Northern Ireland and partners globally, serving 30,000 students from 70 countries. With the rise of remote learning and work, the university prioritized a consistent, collaborative experience across all locations and devices. To meet evolving needs and ensure meeting equity, it recognized the need to modernize outdated video conference equipment that lacked functionality and demanded high support. The focus shifted to standardization, security, and delivering a high-quality, seamless video conferencing experience. Under new leadership, a digital strategy was launched to stabilize systems, optimize technology, and reflect the university’s goals of innovation and excellence.

“We wanted to reflect the university’s aspirations in terms of innovation, quality and best-of-breed solutions.”
- Terence Nicholl, Head of Infrastructure and Operations, Ulster University

Augmented Service and Enhanced User Experience
When Ulster University began exploring digital cross-campus collaboration, it partnered with
HP | Poly to define core requirements and develop a tailored solution. Their existing relationship enabled efficient evaluations, testing, and deployment planning. Rather than fully replacing old systems, the goal was to enhance existing rooms with reliable, future-proof technology. HP | Poly delivered a Microsoft-certified solution aligned with the university’s goals. The process was collaborative, with teams creating mock-ups, running tests, and preparing for a smooth two-week hybrid meeting equipment installation. The result was an on-time, on-budget deployment, with staff using the new system immediately after launch.1

“Selecting a company you can sit down and work with, that will help you define your requirements, design the right solution and be fully engaged through that process, is paramount.”
- Terence Nicholl, Head of Infrastructure and Operations, Ulster University
Maximized Single Platform Collaboration Visibility
Ulster University has seen immediate benefits from enhanced remote management capabilities, including automated updates and alerts for critical infrastructure. Maintenance tasks can now be handled remotely and outside working hours, reducing the need for on-site resources. Improved insights into room use and occupancy support data-driven decisions and maximize return on investment.1
A unified communication and collaboration platform now delivers a consistent, optimized experience across campuses, encouraging high adoption and effective use. Existing rooms were upgraded rather than reconfigured, boosting productivity and user engagement. Support from HP Essential Poly+ has helped minimize risks and disruptions as usage grows.1 Staff, students, and partners now enjoy a streamlined experience that enhances collaboration, reduces stress, and improves learning outcomes.
“Everything is set up, easy to navigate and ready at the click-of-a-button. I just walk in, everything works and I can focus on what matters.”
- Heather Burgess, Co-Chair of the Technician Commitment Steering Group, Ulster University
